Getting Started
What kinds of documents can I upload?
Any health document that wasn't issued through GVL. Examples include paper CVIs, EIA/Coggins certificates from another platform, rabies certificates, vaccination records, prescriptions, or VFDs. When you upload, you'll select a document type from a list, or choose "Other" if your document doesn't fit a category.
What file formats are accepted?
PDF, JPG, JPEG, PNG, HEIC, Excel, DOC, and DOCX. Files must be under 20 MB. If your file doesn't meet these requirements, you'll see an error message when you attempt to upload.
Can I upload from my phone?
Yes. The upload works in your phone's browser, including HEIC photos taken on an iPhone, so you can snap a photo of a document and upload it right away.
Visibility and Access
Who can see the documents I upload?
Anyone with Owner or Agent access to that animal in MyVetLink. Uploaded documents aren't private to the person who uploaded them.
Can my veterinary clinic see my uploaded documents?
No. Uploaded documents are managed by you and the other owners or agents on the animal. They aren't shared with your clinic and don't require clinic approval.
Managing Your Documents
Can I upload one document to multiple animals at once?
No. Documents are tied to a single animal's record. If a document applies to more than one animal, upload it separately to each animal.
Can I upload several documents at the same time?
No. Documents are uploaded one at a time.
Can I rename a document after uploading it?
No. The document keeps the file name it was uploaded with. If you'd like a different name, delete the document and upload a renamed copy of the file.
How do I replace a document with an updated version?
Delete the old document, then upload the new file.
What happens when I delete a document?
It's removed from the animal's record immediately. There's no confirmation step and no way to undo it. If you delete a document by accident, you'll need to upload the file again.
Is there a limit to how many documents I can upload?
Yes. Each animal's record can hold up to 50 uploaded documents.
Expiration and Reminders
Will MyVetLink remind me when an uploaded document expires?
No. Uploaded documents don't have expiry dates or reminders, so you're responsible for tracking when they need to be renewed. Expiry dates are still shown for your GVL-issued certificates.
